Cases and handovers

Keep one DOJ case number, pass on tasks and documents, and transfer case responsibility after acceptance.

A case file is the shared record of a case. Creating it assigns its DOJ case number. Prosecution, court staff and later handovers refer to that same case; a prior Police case is not required. Loose documents, attachments and ZIPs retain their own File IDs without automatically creating a numbered case.

Send a handover

  1. Select the case or material in File Explorer and choose Send handover from its context menu.
  2. Choose an existing case or create one in the dialog. Assigning a file to a case preserves its File ID and saved versions.
  3. Choose the recipient and the task, add instructions and select the saved documents or attachments to include.
  4. Review the scope and send. Open Handovers → Sent to follow the request; recipients use Received.

Recipients can be configured people, units, ranks, functional roles or agencies. Available targets and actions follow current access. The toolbar provides search and status filters; case numbers and File IDs are searchable. Each entry shows its sender, recipient, submission time and status.

Choose the right task

HandoverWhat the recipient receives
Review / continue workInstructions and the selected fixed document and attachment versions
Judicial decisionMaterial for a judge to review and decide, with or without a hearing
Transfer case responsibilityA request to take responsibility for the case itself

Transfer case responsibility takes effect when the recipient accepts. Until then, the previous office remains responsible. Acceptance grants editing access to material directly in the case, including later additions; it is broader than the selected submission package. Other private workspace content is not included. Independent access grants continue to apply.

Depending on role and status, staff can take over, assign a judge, ask a question, answer with additional material, forward, complete, return or withdraw a handover. Read the current instructions and history before acting. Judge choices follow the recipient job's eligible members and current judiciary assignments.

Decide without a hearing

A judge can issue a signed decision directly or link a hearing when one is needed. Prepare decision selects the appropriate warrant template from the submitted material and carries forward the relevant fields for review. The judge supplies their own issuing details, reviews the result and signs the current saved version before issuing it to the selected recipients.

The decision, submitted versions, source case and deliveries stay linked. Eligible Police recipients can report Executed, Unsuccessful or Not executed, with notes and the time of an execution. An optional execution deadline limits late execution reporting. Signing or delivering a decision does not automatically arrest, fine or jail a character.

Deadlines and follow-up

Set a response deadline and, when needed, an earlier follow-up time. Dates are stored in UTC and the selected time zone is retained. Open and overdue filters help locate pending work. Eligible connected recipients receive deadline and follow-up notices; acknowledged notices are not repeated for the same scheduled time. Closed requests stop generating notices.

Bodycam requests

From a case, choose Request bodycam, select an eligible Police recipient and describe the officer, incident period, identifying information and response deadline. Police staff use File Explorer → Bodycam requests, take over the request and respond with saved Gallery recordings or external HTTPS video links with descriptions.

If no recording exists, the recipient can explain that it is unavailable or request an extension. DOJ reviews the response, accepts it or returns it for further work, and decides whether to extend the deadline. Accepted footage remains linked to the case; the request does not create a recording that was never saved.

Optional workflow

Handovers and Bodycam requests are separately configurable in Configuration. Bodycam requests require Handovers. Disabling the workflow preserves existing requests and cases. Ordinary case assignment, documents, manual sharing and saved Gallery recordings remain available independently.

Redacted copies

Prepare disclosure creates a separate redacted version of a native document. Marked text is removed from the recipient output; images and signature graphics are omitted. The original remains unchanged. Inspect the recipient preview before sharing the result.

This does not redact the pixels or text inside an uploaded PDF or image. Prepare a sanitized attachment before distributing that material. See Sharing and printing for recipients and physical copies.

Folder ZIPs

Use the folder context menu to package a folder as a ZIP inside File Explorer, in its parent folder. The archive includes accessible documents, attachments and subfolders. Native documents are saved as .doj.json snapshots and can be opened in the archive preview. The current limits are 500 entries and 16 MiB of content.

Imported Police originals remain source-owned. DOJ copies receive their own File IDs and preserve their provenance; repeated imports from the same Police case use the stored case association rather than merging records by matching names.
